Position Overview

The Patient Services Coordinator plays a vital role in the operational efficiency of the healthcare facility by managing daily business office activities, including billing processes, patient interactions, and appointment scheduling. This position is also responsible for answering incoming calls, assessing patient urgency, and directing inquiries appropriately.

Qualifications

Education:
  • High school diploma or equivalent is mandatory.

Experience:
  • Prior experience in a medical office or customer service environment is preferred.
  • Experience interacting with the public both in-person and via phone is advantageous.
  • Proficiency in computer usage and typing skills is essential.

Skills and Abilities:
  • Excellent written and verbal communication skills are required.
  • Ability to manage multiple tasks and prioritize effectively is necessary.
  • Candidates must successfully complete assessments in Listening Skills, Data Entry, and Office Skills during the interview process.
Key Responsibilities

The Patient Services Coordinator is tasked with enhancing patient satisfaction by providing exceptional assistance and guidance to visitors and patients, both in person and over the phone. This role involves:
  • Communicating patient needs through the electronic health record system.
  • Ensuring quality standards and patient satisfaction metrics are met by anticipating patient needs and addressing grievances.
  • Coordinating patient appointments, including scheduling, rescheduling, and triaging urgent cases.
  • Monitoring patient flow and collaborating with the team to minimize wait times and inform patients of delays.
  • Accurately registering patient demographics and insurance information, confirming eligibility through external resources.
  • Collecting patient financial responsibilities at the time of registration, including current and past due balances.
  • Obtaining necessary consents for patient treatment.
  • Contributing to the clinic's financial performance by managing accounts receivable and monitoring for bad debt balances.
  • Handling incoming correspondence and assisting with the scanning of medical records as needed.
  • Performing opening and closing procedures, including cash management and report generation.
  • Adhering to all compliance regulations, including Corporate Compliance and HIPAA standards.

This position also requires effective management of task lists within the electronic health record system and participation in team objectives.
