The Senior Administrative Coordinator plays a pivotal role, directly supporting the Vice President for Enrollment Affairs and three Assistant Vice Presidents. This position serves as the primary point of contact for both internal and external stakeholders related to the VP's office, making it essential for faculty and staff collaboration. KEY RESPONSIBILITIES

  • Deliver comprehensive administrative assistance to the Enrollment Affairs department.
  • Facilitate daily administrative operations for departmental personnel.
  • Oversee the VP's schedule, arrange meetings and appointments, reserve spaces as necessary, and collaborate closely with other senior administrative staff across the institution.
  • Manage meeting agendas, document discussions, assign and distribute action items, and promote information exchange during departmental and interdepartmental meetings as required.
  • Assist in managing and monitoring the divisional budget. Prepare and submit purchase requests; process invoices across departments. Coordinate with Finance, Procurement, and Accounts Payable to ensure timely and accurate financial transactions.
  • Lead various special initiatives assigned by the VP, clearly communicating objectives, deadlines, deliverables, and progress to relevant stakeholders while gathering feedback from appropriate parties.
  • Complete expense reports and additional tasks in the designated financial management system on behalf of the VP.
  • Draft, revise, and prepare official correspondence, presentation materials, Board of Trustee reports, and slide presentations.
  • Organize travel arrangements and itineraries using the designated travel management system.
  • Maintain regular communication with the VP to keep them informed of upcoming obligations, responsibilities, and departmental needs.
  • Support managers in onboarding new employees, ensuring they have the necessary resources, equipment, and access. Organize and maintain documentation and files.
  • Develop and coordinate the dissemination of internal and external policies and procedures, offering recommendations for process enhancements and efficiencies.
  • Act as a resource for general office inquiries and requirements.
  • Provide guidance and training to fellow staff members as needed. Submit and monitor routine IT, Facilities, and Archival requests.
  • Offer assistance and coverage for colleagues as necessary.
  • Perform other related duties as assigned.

QUALIFICATIONS

  • A Bachelor's Degree in Business, Finance, or a related discipline, or equivalent experience is required.
  • A minimum of 5 years of administrative experience in a complex organizational setting, including direct support to senior-level executives.
  • Experience with financial and HR management systems is highly preferred.

SKILLS AND COMPETENCIES

  • Proficient writing and editing skills, project management capabilities, professionalism, and discretion are essential.
  • Exceptional accuracy and attention to detail are required.
  • Familiarity with Google Workspace is preferred.
  • General understanding of budgeting and accounting practices.
  • Proficient in utilizing computer software and quickly adapting to new technologies.
  • Strong organizational skills with the ability to manage multiple projects simultaneously and prioritize tasks effectively.
  • Self-motivated with excellent interpersonal communication and problem-solving abilities.
  • Strong written communication and editing skills.
  • Ability to maintain a high level of confidentiality.

PHYSICAL REQUIREMENTS

  • This role is primarily sedentary; occasional movement within the office is required.
  • Continuous oral and written communication with students, colleagues, and supervisors is essential.
  • Repetitive motions, occasional lifting of up to 10 pounds, reaching, and the ability to read a computer screen and fine print are expected.
