Job Overview

The Senior Sponsored Programs Support Specialist is responsible for overseeing both pre-award and post-award activities within designated departments. This position plays a crucial role in the preparation of grant proposals, contracts, and agreements for review by the central Office of Sponsored Programs (OSP). Additionally, the specialist manages financial forecasting and ensures compliance with effort certification. With minimal supervision, this role guarantees that proposals and awards adhere to relevant laws, regulations, policies, and contractual obligations while facilitating the award closeout process through the reconciliation of direct and indirect costs. Exceptional service quality, meticulous attention to detail, and outstanding customer relations are paramount in this position.

Key Responsibilities
  • Facilitates the development of proposals, inputs them into Cayuse, contributes to non-technical aspects of submissions, and processes complex proposal submissions.
  • Prepares and submits transfer grant applications to OSP for new faculty members.
  • Collaborates with faculty to prepare budgets for proposals and assists in crafting budget justifications.
  • Establishes standardized procedures for compiling and organizing sponsored account documentation to support grant submissions and initial project setup.
  • Stays informed on federal guidelines related to sponsored projects, including updates to OMB Uniform Guidance.
  • Assists Principal Investigators (PIs) in navigating sponsored program administration, policies, and compliance on an ongoing basis.
  • Identifies subcontracting needs and coordinates subaward budgets and documentation for proposal submissions.
  • Proactively identifies and implements opportunities for process improvements.
  • Generates monthly financial forecast reports for PIs, reviews documentation for cost transfers, and serves as the primary liaison with OSP.
  • Monitors budgets for sponsored program awards against actual expenditures, ensuring compliance with sponsor guidelines.
  • Supports faculty in completing and processing compensation documentation through the institution's effort certification system (ECRT).
  • Conducts ad-hoc monitoring reviews and communicates findings to relevant units.
  • Engages with the Office of Sponsored Programs (OSP) regarding re-budgeting requests and collaborates with administrative units on late payments or invoicing issues.
  • Prepares closeout reports to ensure all outstanding items are resolved prior to project end dates, streamlining the reconciliation process and communicating with Principal Investigators.
  • Reconciles direct and indirect project expenses, ensuring all appropriate costs are accounted for and reviewing invoices.
  • Evaluates financial expenditures for accuracy on sponsored grants and contracts, preparing comprehensive forecast reports that include revenue, expenditures, and available balances.
  • Regularly meets with Principal Investigators to review award statuses and assist in problem resolution as needed.
  • Participates in meetings, training sessions, and professional development workshops to remain current on policies and procedures relevant to the role, as approved by the supervisor.
  • Performs additional duties as assigned.
Qualifications
  • In-depth knowledge of the administrative and compliance aspects of proposals, including interpretation of standard requirements, development of budgets and justifications, and evaluation of compliance elements.
  • Thorough understanding of applicable federal, state, and sponsor regulations related to sponsored programs, particularly OMB Uniform Guidance.
  • Experience with sponsored program proposal development and financial administration software applications.
  • Ability to work independently within a team environment, manage conflicting responsibilities, prioritize tasks, and consistently meet deadlines.
  • Capability to work across various types of sponsored programs, including training, public service, and both basic and clinical research.
  • Strong attention to detail, problem-solving skills, and the ability to manage multiple projects effectively.
  • Analytical skills with experience in examining financial transactions to produce accurate reports and identify viable solutions.
Education
  • Bachelor's degree is required.
  • Master's degree is preferred.
Experience
  • A minimum of four (4) years of experience in sponsored programs administration is required (education may substitute for up to two years of experience).
Licenses and Certifications
  • Certified Research Administrator (CRA)
  • Pre-Award (CPRA) certification
