Vaco is partnering with a dynamic real estate investment firm to find a dedicated Receptionist/Administrative Assistant.

Key Responsibilities:

  • Provide exceptional customer service as the first point of contact for employees, guests, and service providers, ensuring a professional and welcoming environment.
  • Manage the reception desk, collaborating with other receptionists to handle incoming visitors and calls, and maintain a smooth flow of communication.
  • Coordinate meeting room schedules, prepare rooms before and after meetings, and maintain organized spaces.
  • Offer administrative support, including scanning, filing, photocopying, and ordering office supplies, to ensure seamless operations.
  • Assist with event planning, office upkeep, and maintenance requests, including managing office supply stock and coordinating tasks.
  • Handle travel arrangements and prepare itineraries for staff as needed, ensuring timely and efficient travel.
  • Receive and distribute mail, packages, and couriers, ensuring smooth internal communications and secure delivery.
  • Monitor visitor logs and issue badges, ensuring security protocols are followed.

Requirements:

  • Minimum of an Associate's degree; Bachelor's degree preferred.
  • At least 1 year of professional office or receptionist experience.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word); experience with Concur is a plus.
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Professional appearance and demeanor, with strong interpersonal skills.
  • Reliable transportation and the ability to lift up to 30 lbs.
