Legal Office Coordinator

At Carolina Legal Associates, we are seeking an experienced Legal Office Coordinator to join our team. This role will provide critical support to our attorneys and paralegals, ensuring seamless daily operations and administrative tasks.
Key Responsibilities:
- Answer and properly route incoming calls, taking clear telephone messages
- Greet and announce visitors, clients, third parties, and vendors with a professional demeanor
- Maintain office supplies and manage inventory
- Ensure reception, kitchen, conference rooms, and visiting areas meet firm standards
- Arrange depositions and meetings
- Coordinate meeting/conference requirements, including Audio/Visual and conference room set-ups
- Act as a local courier
- Open new client files and set up hard files as requested
- Copy files and documents brought in by clients and route them to the appropriate case and staff member
- Prepare letters to clients for case rejection, closing, etc.
- Make banking deposits
- Open certain claims in a timely manner, including liability/medpay and subrogation claims
- Schedule client appointments, consultations, and meetings
- Calendar for supervising attorney
- Assist paralegals and attorneys with correspondence and other administrative duties
- Note every client contact in client files in real-time
Requirements and Qualifications:
- Excellent customer service skills
- Ability to work as part of a team
- Flexibility to adapt to a fast-paced environment
- Possession of a valid driver's license and reliable transportation
- Prior experience in a law firm is required
- Prior experience in customer service is preferred
- Ability to use a multi-line telephone system
- High school diploma is required, but an associate's degree or higher is preferred
- Ability to handle sensitive material with discretion
- Excellent word processing skills and knowledge of the MS Office suite
- Professional and friendly demeanor
