Position Summary

ROLE DESCRIPTION
The Healthcare Reception Specialist serves as a crucial point of contact, providing administrative and clerical assistance within IVX Health infusion centers. Responsibilities include welcoming patients, managing appointment schedules, handling phone inquiries, and supporting various office functions.

Key Responsibilities
  • Manage incoming calls and direct them to the appropriate personnel, ensuring excellent service for both internal and external clients.
  • Act as the primary contact for patient inquiries and concerns.
  • Welcome patients and respond to phone calls in a courteous and professional manner.
  • Coordinate and adjust patient appointments following established scheduling protocols.
  • Verify that necessary authorizations are secured prior to patient visits.
  • Follow up with patients regarding upcoming appointments through various communication methods.
  • Perform essential check-in tasks, including:
    • Updating patient demographic information.
    • Verifying insurance details as needed.
    • Collecting necessary identification and medical records.
  • Maintain accurate patient records and filing systems.
  • Provide information about the practice and its services.
  • Process copayments and document transactions accurately in the management system.
  • Complete end-of-day procedures, including report generation and communication with relevant staff.
  • Facilitate patient flow at the front desk, collaborating with clinical staff to enhance efficiency and safety.
  • Handle incoming mail and ensure timely forwarding of invoices.
  • Oversee the ordering and maintenance of office supplies.
  • Keep the reception area organized and welcoming.
  • Provide administrative support as required.
