Position Summary

ROLE DESCRIPTION
The Healthcare Reception Specialist plays a crucial role in patient interaction, delivering administrative and clerical assistance to IVX Health infusion centers. Responsibilities include welcoming patients, managing appointment schedules, handling phone inquiries, overseeing front-end revenue processes, and performing various office tasks.

Work Hours:
This position will serve as a part-time role supporting multiple IVX locations. Flexibility is required during the following hours:
  • Facility A | 9:00 AM - 5:00 PM - Monday, Tuesday, Wednesday & Friday
  • Facility B | 10:00 AM - 3:00 PM - Saturday
Key Responsibilities
  • Manage incoming calls and direct them to the appropriate personnel, ensuring exceptional service for all customers.
  • Act as the primary contact for patient inquiries and concerns.
  • Welcome patients and answer phone calls in a courteous and professional manner.
  • Coordinate and adjust patient appointments in accordance with established guidelines.
  • Verify that necessary authorizations are in place prior to patient visits.
  • Follow up with patients regarding appointments through various communication methods.
  • Conduct check-in procedures, including:
    • Updating patient demographic information as required.
    • Confirming insurance details when applicable.
    • Collecting necessary identification and medical records.
  • Maintain patient records and filing systems.
  • Provide information about the practice and its services.
  • Process payments, including copayments and self-payments, ensuring accurate documentation in the management system.
  • Complete end-of-day administrative tasks, including reporting and identifying no-show patients.
  • Facilitate patient flow at the front desk and communicate with clinical staff to enhance operational efficiency.
  • Handle incoming mail and ensure timely forwarding of bills and invoices.
  • Manage inventory of office supplies and maintain a tidy reception area.
  • Offer administrative support to the local market as needed.
  • Perform additional administrative duties as assigned.
