About the Role

We are seeking a highly skilled and organized Administrative Support Specialist to join our team at ADI Global. As an Administrative Support Specialist, you will provide critical support to our senior management team, ensuring seamless execution of administrative tasks and business processes.

Key Responsibilities
  • Calendar Management: Manage extensive Outlook calendars for senior management sales leaders, ensuring timely scheduling and coordination of meetings and appointments.
  • Travel Planning: Plan complex travel reservations using CONCUR for meetings, presentations, and attendance at national and international conferences.
  • Expense Reporting: Process expense reports and invoices for senior management, NA field management, and branches.
  • Executive Fleet Program: Manage the Executive Fleet Program of 100+ ADI accounts, working closely with RESIDEO/Leasing to ensure seamless transitions, reassignments, and terminations.
  • Monthly Business Review: Coordinate and prepare the Monthly Business Review (MBR) for senior management.
  • Employee Requisitions: Collect weekly field NA employee requisitions (terms/replacements) for HR review.
  • Customer Support: Provide customer support and answer customer inquiries.
  • New Hire Support: Assist and support new management hires with transition into the company and their roles.
  • Distribution Lists: Maintain all distribution lists for NA sales team.
  • Supply Management: Manage supplies and other indirect purchases.
Requirements
  • Administrative Experience: 5+ years of administrative assistance experience.
  • Travel Experience: 5+ years of experience booking travel and expenses.
  • Microsoft Office: Proficient in Microsoft Office.
