Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at Seven Counties Services, Inc. as a Properties Support Specialist. This role will provide administrative support to our Properties Department, ensuring the smooth operation of our facilities and services.

Key Responsibilities
  • Collect and enter various building, vehicle, and safety-related data into databases, communicating with stakeholders to obtain missing information.
  • File and maintain correspondence, records, reports, and other documents related to properties and vehicles.
  • Perform a range of administrative tasks, including data entry, generating purchase requisitions, and taking minutes of meetings.
  • Run reports, assess their accuracy, and take corrective action as needed.
  • Monitor and order janitorial and office supplies, as well as other building-related needs.
  • Process invoices and complete payment reconciliations for Properties-related expenses.
  • Serve as a point of contact for contractors and vendors, coordinating services and projects.
  • Assist with program moves and relocations, maintaining inventory of office furniture.
  • Generate the Properties on-call schedule and communicate with contractors and staff.
  • Ensure staff comply with requirements for transporting clients in personal or organization-owned vehicles.
  • Obtain and maintain Certificates of Insurance and confidentiality statements for contractors.
  • Provide administrative support to the Properties Department, communicating needs to staff and assisting with work orders.
Requirements
  • Completion of up to 18 months of business school beyond high school.
  • Three-to-four years of experience in an office setting, performing various clerical or administrative tasks.
  • Advanced knowledge of Microsoft Office Suite.
  • Typing speed of 50-60 words per minute.
  • Strong oral and written communication skills.
