Position Overview:

The Operations and Administrative Coordinator III at Vallen is a key individual contributor responsible for providing administrative support and coordination for daily business operations. This role involves preparing reports that inform decision-making, assisting with financial oversight, and managing procurement and expense-related tasks as needed.

Key Responsibilities:

  • Generate and maintain various reports on a daily, weekly, monthly, and ad-hoc basis
  • Assist in managing accounts payable and resolving discrepancies
  • Coordinate the scheduling of rental equipment across different sites
  • Process credits and returns accurately
  • Support site compliance in achieving Key Performance Indicator (KPI) objectives
  • Engage in company quality initiatives and adhere to Standard Operating Procedures
  • Research and resolve invoice disputes, credits, and rebills as necessary
  • Process purchase order requests efficiently
  • Set up customer and vendor accounts in Vallen's systems, ensuring accurate record-keeping
  • Support the customer order process and coordinate with various stakeholders
  • Provide ad-hoc assistance to site leadership
  • Record attendance and assist with timekeeping data submissions
  • Timely escalate issues and collaborate with staff to ensure customer satisfaction
  • Perform additional duties as assigned.

Qualifications:

A high school diploma or GED with at least 6 months of relevant experience or training, or an equivalent combination of education and experience is required. Ideal candidates will possess:

  • Advanced proficiency in Microsoft Office Suite
  • Experience with rental equipment and administrative processes
  • Strong decision-making skills and the ability to work independently
  • Exceptional attention to detail and organizational skills
  • Ability to anticipate needs and requirements effectively
  • A professional demeanor for interaction with all organizational levels, vendors, and customers
  • Basic mathematical skills for calculating figures such as percentages and discounts
  • Ability to follow written, oral, and visual instructions
  • Strong organizational, planning, and customer service skills
  • A willingness to learn about company products and services.
