Senior Administrative Coordinator

The Texas Department of Aging & Disability Services is seeking exceptional candidates for the role of Senior Administrative Coordinator within the Access and Eligibility Services, specifically for the Foster Grandparent Program.
This program is dedicated to connecting individuals with essential services and support, particularly for those in need of social assistance.
The Foster Grandparent Program serves a dual role by providing meaningful volunteer opportunities for seniors while addressing the needs of children with exceptional requirements.
The Senior Administrative Coordinator will report directly to the Program Supervisor and will collaborate closely with the Volunteer Services Coordinator to facilitate the daily operations of the program.
Key responsibilities encompass comprehensive administrative support, including responding to inquiries regarding the program, managing data collection and entry, and preparing various reports and documentation.
This position also involves maintaining and organizing files as mandated by regulatory standards, acting as the primary contact in the absence of the Volunteer Services Coordinator, distributing program information, and executing other administrative tasks that require a degree of independent judgment.
Core Responsibilities:
- Regular attendance in accordance with agency policies.
- Collect, track, and input volunteer hours and mileage into the program's tracking system.
This includes processing timesheets bi-monthly and ensuring timely submission for review.
- Maintain current tracking lists for program data, including volunteer enrollment and annual renewals.Accurate data entry is crucial to prevent any loss of funding.
- Organize and maintain volunteer files in compliance with regulatory requirements.Additional Duties:
- Assist with the onboarding and training of new volunteers, including scheduling necessary appointments and reviewing program materials.
- Track incoming data such as child progress reports and volunteer evaluations to meet reporting deadlines. - Support the coordination of monthly meetings and special events for volunteers. - Participate in recruitment efforts by organizing outreach activities and preparing promotional materials. - Create and distribute program-related documents such as newsletters and invitations as needed. - Attend required training sessions and conferences as designated by management. - Perform general office tasks including supply ordering and phone management. - Serve as the primary contact in the absence of the Volunteer Services Coordinator.Required Skills and Qualifications:
- Proficient knowledge of office and administrative practices.
- Skilled in utilizing computer software, particularly Microsoft Office Suite.
- Excellent verbal and written communication abilities.
