DLR Group is seeking an Office Support Specialist to join our Administrative team. This role is essential in providing support to our office staff and requires a presence in the office five days a week.

Location: Washington, DC

Role Summary

As an Office Support Specialist at DLR Group, you will serve as the initial point of contact for visitors and vendors. Your responsibilities will include creating a welcoming atmosphere for all guests, managing meeting logistics, and ensuring the overall organization of the office.

Key Responsibilities:
  • Welcome all visitors and vendors, offering guidance within the office.
  • Handle incoming calls and direct them appropriately.
  • Assist in the onboarding process for new team members.
  • Coordinate with vendors for various office needs.
  • Arrange travel bookings, manage office calendars, and oversee mail distribution.
  • Share relevant information with staff regarding local events and activities.
  • Maintain a clean and organized office environment.
  • Order and manage office supplies effectively.
  • Coordinate meeting spaces, events, and assist with catering arrangements.
  • Safeguard confidential project-related information.
  • Support project managers with various tasks related to team and project management.
  • Perform basic accounting duties, including processing vendor invoices and tracking payment statuses.
  • Assist with miscellaneous office tasks as required.
Qualifications:Required:
  • A minimum of 3 years in a customer-facing service role.
  • Proficiency in Microsoft Office Suite, particularly in scheduling meetings using Outlook.
  • Strong verbal and written communication skills.
  • Detail-oriented, proactive thinker with the ability to prioritize tasks.
  • Familiarity with business operations and office equipment.
Preferred:
  • Experience in the architecture, engineering, or construction (A/E/C) sector.
  • Knowledge of Deltek Vantagepoint software.
