Job Overview

Position Summary

AdvantaClean of The Piedmont is in search of a motivated and detail-focused Accounting and Production Specialist to enhance our operational efficiency. This position plays a vital role in overseeing financial documentation, coordinating production timelines, and ensuring effective communication among project teams and clients.


Key Responsibilities
Financial Oversight:
  • Record Keeping: Ensure precise financial documentation, including managing accounts receivable, accounts payable, general ledger entries, and payroll functions.
  • Billing: Prepare and distribute invoices promptly, maintaining accuracy and adherence to deadlines.
  • Cost Analysis: Monitor and report on project costs to guarantee profitability and financial integrity.
  • Banking Reconciliation: Reconcile bank statements and manage cash flow efficiently.
Production Management:
  • Task Coordination: Organize and schedule production tasks, including delegating responsibilities to team members and arranging service appointments.
  • Project Support: Assist Project Managers in monitoring project advancement, maintaining timelines, and ensuring timely task completion.
  • Material Management: Procure materials, schedule deliveries, and oversee inventory to meet project requirements.
  • Client Interaction: Engage with clients to ensure satisfaction and address any inquiries or issues.
Administrative Assistance:
  • Record Maintenance: Keep organized files of contracts, estimates, change orders, and other project-related documentation.
  • Data Management: Conduct accurate data entry using company-approved software, ensuring all information is current and correctly recorded.
  • Office Support: Provide assistance with general office tasks, including inventory oversight and administrative support for the team.
Team and Client Support:
  • Client Relations: Build and maintain strong relationships with clients, delivering exceptional service and promptly addressing inquiries or concerns.
  • Team Collaboration: Collaborate closely with project teams, vendors, and insurance adjusters to ensure smooth project execution and resolution of any challenges.
  • Additional Duties:
  • Human Resources Support: Assist with HR functions, including onboarding new staff and supporting employee development.
  • Financial Reporting: Prepare financial reports and assist in financial analysis to aid in decision-making and strategic planning.
  • Strategic Contributions: Participate in the development and implementation of the company’s strategic objectives.
Qualifications
  • Education: An Associate's degree in Accounting, Business Administration, or a related discipline is required; a Bachelor's degree is preferred.
  • Experience: A minimum of 3 years of bookkeeping experience, encompassing accounts receivable, accounts payable, general ledger, and payroll.
  • Technical Proficiency: Familiarity with bookkeeping software (e.g., QuickBooks, Xactimate) and Microsoft Office Suite (Word, Excel).
  • Organizational Skills: Exceptional ability to manage multiple tasks and projects simultaneously with a keen attention to detail.
  • Communication Skills: Strong written and verbal communication skills, capable of effectively interacting with clients and team members.
  • Problem-Solving Skills: A proactive approach to identifying and resolving issues promptly.
Physical Requirements
  • Regularly required to sit, use hands, talk, and listen.
  • Frequently required to stand and walk.
  • Ability to lift and/or move up to 10 pounds regularly and up to 25 pounds occasionally.
Work Environment
  • Primarily office-based with occasional site visits.
  • Exposure to varying noise levels and environmental conditions as per job site requirements.
