Position Overview

AdvantaClean of The Piedmont is on the lookout for a motivated and detail-focused Accounting and Production Operations Specialist to enhance our operational efficiency. This position plays a vital role in overseeing financial documentation, coordinating production timelines, and ensuring effective communication between project teams and clients. The successful candidate will possess a solid background in accounting, exceptional organizational abilities, and a proactive mindset towards problem resolution.


Key Duties
Financial Oversight:
  • Accounting: Ensure precise financial documentation, encompassing accounts receivable, accounts payable, general ledger entries, and payroll administration.
  • Billing: Create and distribute invoices promptly, guaranteeing accuracy and punctuality.
  • Cost Analysis: Monitor and report on project costs to maintain profitability and financial integrity.
  • Banking Reconciliation: Reconcile bank statements and manage cash flow efficiently.
Production Management:
  • Task Coordination: Organize and schedule production tasks, including delegating responsibilities to team members and arranging service appointments.
  • Project Assistance: Aid Project Managers in monitoring project timelines, maintaining schedules, and ensuring timely task completion.
  • Material Management: Procure materials, schedule deliveries, and oversee inventory to meet project requirements.
  • Client Interaction: Follow up with clients to ensure satisfaction and address any inquiries.
Administrative Assistance:
  • Record Keeping: Maintain organized files of contracts, estimates, change orders, and other project-related documents.
  • Data Management: Conduct accurate data entry using company-approved software, ensuring all information is current and correctly recorded.
  • Office Support: Assist with general office duties, including inventory oversight and administrative support for the team.
Client and Team Engagement:
  • Client Relations: Build and sustain strong relationships with clients, delivering excellent service and promptly addressing inquiries or issues.
  • Team Collaboration: Collaborate closely with project teams, vendors, and insurance adjusters to ensure smooth project execution and resolve any challenges.
  • Additional Duties:
  • Human Resources Support: Assist with HR functions, including onboarding new staff and contributing to employee development.
  • Financial Reporting: Prepare financial reports and assist in financial analysis to support strategic decision-making.
  • Strategic Contributions: Participate in the formulation and execution of strategic objectives for the organization.
Qualifications
  • Education: Associate's degree in Accounting, Business Administration, or a related discipline required; Bachelor's degree preferred.
  • Experience: At least 3 years of accounting experience, including accounts receivable, accounts payable, general ledger, and payroll.
  • Technical Proficiency: Familiarity with accounting software (e.g., QuickBooks, Xactimate) and Microsoft Office Suite (Word, Excel).
  • Organizational Skills: Strong capability to manage multiple tasks and projects concurrently with meticulous attention to detail.
  • Communication Skills: Excellent written and verbal communication abilities with the capacity to interact effectively with clients and team members.
  • Problem-Solving Skills: Proactive approach to identifying and resolving issues promptly.
Physical Requirements
  • Regularly required to sit, use hands, talk, and listen.
  • Frequently required to stand and walk.
  • Ability to lift and/or move up to 10 pounds regularly and up to 25 pounds occasionally.
Work Environment
  • Primarily office-based with occasional visits to job sites.
  • Exposure to varying noise levels and environmental conditions as per job site requirements.
