Job Overview

PURPOSE OF POSITION:


Under supervision, with moderate latitude for initiative and judgment, performs confidential and complex tasks involving dictation, transcription, correspondence preparation, managing telephone communications, scheduling appointments, and maintaining files and office procedures.

Reports to an Officer of the Corporation, Executive Director, Deputy Executive Director, or Senior Executive staff members at Central Office.

May undertake designated administrative tasks within specified limits related to the functions and authorities of the Executive Officer.

Key Responsibilities

  • Records dictation of a confidential and/or complex nature, transcribes using shorthand or transcription equipment (e.g., correspondence, detailed reports, and technical documents).
  • Prepares meeting agendas, assembles necessary materials, and makes arrangements to document proceedings of meetings and conferences.
  • Handles confidential contracts and attends to other sensitive matters.
  • Assists Executives, Officers, and Administrators in preparing records and data while maintaining confidential files.
  • Drafts and edits correspondence and reports, and may compose correspondence for Executives and Officers.
  • Answers and screens telephone calls, receives visitors, manages appointment schedules, and makes reservations.
  • Keeps the Executive informed of pending matters and appointments.
  • Prepares responses to correspondence and initiates actions on matters that do not specifically require the Executive's attention.
  • Supervises secretarial and clerical staff assigned to the office, planning, assigning, and reviewing their work to ensure satisfactory performance.
  • Participates in training programs to gain knowledge of hospital operations.
  • May attend staff meetings and conferences, reporting results to Executive Directors and/or Corporate Officers.
  • Coordinates payroll activities.
Minimum Qualifications

a. High School Diploma or equivalent, and four years of clerical experience including two years as a stenographic secretary; or,

b. A Baccalaureate Degree from an accredited college or university and one year of experience as a stenographic secretary; or,

c. An Associate Degree with specialization in Secretarial Science and three years of clerical experience, one year of which shall have been as a stenographic secretary.

The ability to take dictation accurately and rapidly, as well as transcribe effectively.

Ability to exercise discretion and diplomacy in all internal and external contact relationships, and to take initiative in preparing routine correspondence, managing administrative details, and maintaining confidentiality of all executive and corporate matters.

High-level verbal, written, and secretarial skills and knowledge required; or, a satisfactory combination of education, training, and experience.
