Senior Executive Assistant

An effective Senior Executive Assistant embodies organization, meticulousness, a commitment to quality, and the ability to thrive in a dynamic, deadline-driven environment. In this position, you will collaborate seamlessly within a team, represent the executive with professionalism and insight, and ensure impeccable work quality. Your daily responsibilities will involve engaging with various senior-level internal stakeholders across multiple business sectors. You will be required to modify procedures, processes, and methodologies to fulfill tasks aligned with departmental objectives.
KEY RESPONSIBILITIES
· Oversee intricate and comprehensive calendars for several executives.
· Evaluate incoming calls, prioritizing them appropriately while exercising discretion in sharing information.
· Facilitate the organization and logistics of both internal and external meetings.
· Coordinate and arrange complex domestic and international travel itineraries.
· Manage all elements of offsite conferences and external events, including catering and transportation logistics.
· Process invoices and travel & expense claims for team members, ensuring adherence to policies and timely processing. Serve as a subject matter expert on relevant policies and procedures.
· Collaborate effectively with the administrative support team, fostering a positive partnership to ensure smooth operations.
REQUIRED QUALIFICATIONS
· Minimum of 5 years of experience as an Executive Administrative professional in the Financial Services or Corporate sector.
· Proven experience supporting executives at the Managing Director level or higher.
· Expertise in managing schedules for high-ranking executives and teams.
· Familiarity with Concur for travel and expense management (noting the high volume of client-related expenses).
· Proficient in Microsoft Office Suite (Outlook, Teams) and Zoom for coordinating internal meetings.
· Exceptional telephone etiquette and adeptness at managing competing priorities (e.g., calendar management).
· Discretion and sound judgment in handling confidential matters, with a track record of interacting with senior management.
· Strong interpersonal, written, and verbal communication skills.
· A college degree is advantageous.
