Job Summary

We are seeking a highly organized and detail-oriented individual to fill the role of HR Assistant and Receptionist. In this hybrid position, you will be the first point of contact for visitors and calls, while also handling employee onboarding and payroll processing.

Key Responsibilities:
  • Receptionist Duties:
    • Provide exceptional customer service to visitors and employees.
    • Answer and direct incoming phone calls and handle general inquiries.
    • Maintain the reception area, ensuring it is clean and organized.
    • Handle incoming mail, packages, and deliveries.
    • Manage scheduling for meetings and conference rooms as needed.
  • HR Onboarding Duties:
    • Assist with the onboarding process for new hires, including collecting and verifying required documents.
    • Ensure new employees complete all necessary paperwork, including employment forms, background checks, and training materials.
    • Maintain accurate employee records and update the HR database as needed.
    • Help schedule orientation sessions and coordinate with department heads for training.
  • Payroll Duties:
    • Support the payroll team by assisting with data entry, timekeeping, and employee pay adjustments.
    • Review and verify employee timesheets for accuracy.
    • Assist in the processing of payroll in a timely manner, ensuring compliance with company policies and regulations.
    • Address employee payroll inquiries and resolve any discrepancies.
    Requirements:
    • High school diploma or equivalent; associate's degree or HR certification preferred.
    • Previous experience in a receptionist or HR/administrative role is highly desirable.
    • Familiarity with payroll processing and onboarding procedures is a plus.
    • Strong organizational skills with the ability to multi-task.
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
    • Excellent verbal and written communication skills.
    • Maintain confidentiality of all resident care information in accordance with HIPAA guidelines.
    • Create and uphold an atmosphere of warmth, patience, enthusiasm, and a calm and cheerful environment.
