Job Overview:

As a vital member of the ASSA ABLOY Opening Solutions Americas Intellectual Property team, this senior role is dedicated to assisting and supporting the IP Practice within the Americas. The primary focus of this position is to manage daily docketing tasks and ensure accurate updates to the records, databases, and files maintained by the division, as well as oversee the invoicing and billing processes.

Key Responsibilities:

  • Act as the main point of contact for daily docketing and updates to records, databases, and files, including:
    • Timely entry and updates of data in patent and trademark databases.
    • Generation of monthly and ad hoc reports as required.
    • Management of correspondence with external counsel and third-party support.
    • Creation and maintenance of electronic files and updates in relevant databases.
  • Engage with external and local/international counsel regarding ongoing matters under the guidance of the Head of IP.
  • Oversee monthly invoicing and billing processes.
  • Conduct monthly reviews and approvals of documentation.
  • Support the content management of SharePoint/internal sites.
  • Review and update outside counsel guidelines and best practices.
  • Assist with various portfolio management tasks, including trademark and patent searches, evidence gathering, and maintenance of related files and databases.
  • Handle tasks related to IP disputes, including factual investigations and updates to relevant files.
  • Manage tasks for licenses, recordals, and other agreements, consulting with the Head of IP as necessary.
  • Perform additional duties as required, such as:
    • Assisting with due diligence related to intellectual property issues.
    • Coordinating meetings with internal teams and external counsel.
    • Updating IP Group reference materials and resources.
    • Facilitating the acquisition of signatures and formalities for documents.
    • Providing general administrative support as needed.

Qualifications:

  • Minimum of an associate degree; a four-year college degree is preferred.
  • At least five years of relevant experience as an IP administrator.
  • Ability to work independently and collaboratively, managing multiple tasks effectively under pressure.
  • Strong organizational skills with the ability to prioritize complex projects.
  • Excellent written and verbal communication skills with a keen attention to detail.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Dependable work ethic and professionalism.
  • Familiarity with IP databases (e.g., IP Folio, CPI, Anaqua, CPA) is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Power BI) and SharePoint.
  • Comfortable using online search platforms and open to learning IP-specific tools.
  • Experience with design software such as Solidworks is a plus.
  • Engineering or technical background is desirable.
