The Education Events Administrator will organize and maintain continuing education data across multiple platforms for various stakeholders. This individual will build and maintain relationships with Continuing Education representatives to align business and stakeholder education needs. You will handle time-sensitive communications, ensure compliance with organizational requirements, and manage CEU filings through cross-functional collaboration.

Main job responsibilities:

  • Build and maintain working relationships with Continuing Education representatives from professional organizations (such as AARC and ASHA) to ensure business objectives and stakeholder education needs are merged.
  • Responsiveness to internal and external stakeholder communications including completing time sensitive and critical requests in a timely and accurate fashion.
  • Ability to function in highly professional manner considering business and partner organization needs
  • Responsible for adherence to company and professional organization requirement related to execution and documentation requirements
  • Reliable and professional communication via email, phone, virtual interactions, and in person
  • Ensure CEU filings are completed in a timely, thorough manner via cross functional collaboration that includes multiple stakeholders such as Clinical Education, Marketing, Sales, Digital and Traditional Marketing, Events, and Global teams.
  • Process Improvement throughout Educational Event and CEU Administration activities
  • Creating templates to improve efficiencies and scalability across education events
  • Establish standards across departments to ensure expectations are conveyed and deadlines are met.
  • Manage multiple tasks and deadlines, maintaining an attention to detail
  • Conduct in depth research on professional organization procedures and processes and adhere to the highest accuracy when filing CEUs
  • Preplanning, execution, and post course activities including
  • Perform, store and organize event related data in preparation for potential audit activities
  • Creating and maintaining events calendar to ensure continued revenue/business objectives are met and promotions/events are prepared for in a timely manner.
  • Process invoices and payment for fees related to filing for continuing education courses in accordance with procedures outlined by professional organizations.
  • Provide reports, statistics and status updates to management regarding continuing education course offerings
  • Maintain course logs via excel
  • Proficient in creating excel templates, using formulas, and visual graphics using excel data.
  • Create documentation related to courses registration and execution using InDesign.
  • Coordinate content, handle client inquiries and conduct customer events
  • Maintain external learning management system back-end including registration, attendance, certificate generation and course offerings.
  • Submit pre and post event course documentation to meet deadlines

Basic Qualifications:

  • One to two years of related administrative experience
  • Experience with computers and demonstrated proficiency with software programs

Preferred Qualifications:

  • Associates degree in related field preferred
  • Working knowledge in a Durable Medical Equipment or Healthcare environment
  • Knowledge of Continuing Education processes

Competencies:

  • Must be attentive to details, collaborative and well-organized.
  • Must possess good judgment and work effectively with internal business areas, peers and co-workers as well as external parties and customers.
  • Must have strong computer skills. Strong knowledge of Microsoft office programs highly recommended.
  • Must be a self-started with the ability to manage work independently end-to-end, meet milestones and provide deliverables on time.
  • Ability to manage multiple tasks, prioritize them and pay attention to detail.
  • Ability to recognize and direct information to the appropriate business partner.
  • Ability to meet project milestones with strict deadlines.
