OVERVIEW


The Administrative Operations Associate is essential in facilitating the mission of the Chickasaw Nation Industries by providing comprehensive support to the Office of Civil Rights (OCR) within the Strategic Program Operations (SPO) Division.

Located in the Washington, DC area, this role acts as a primary liaison for Bureau personnel, ensuring effective administrative processes and adherence to compliance standards across various functions.


KEY RESPONSIBILITIES


Administrative Support

Under the guidance of the supervisor, the Administrative Operations Associate will execute and oversee established administrative management protocols for an organization characterized by a streamlined structure or dynamic operational needs. Responsibilities include applying administrative policies, maintaining systems, and managing travel requests through designated travel systems. The role may require travel to temporary work locations as necessary.

This position involves attending meetings, organizing schedules, and documenting detailed notes for staff requiring assistance.

Additionally, the Associate will draft correspondence, reports, and recommendations related to disability employment initiatives, providing guidance to management and staff on administrative inquiries.


Supplies and Property Management


The role includes coordinating administrative tasks related to supplies, property management, and office relocations. This involves establishing and maintaining systems to monitor the acquisition and utilization of supplies and supporting office transitions and improvements.

Collaboration with other departments is essential to facilitate these activities, ensuring the efficient and economical use of resources.


Facility Services Coordination


The Associate will oversee basic administrative needs for operational services, including utilities and telecommunications. Regular safety evaluations will be conducted to identify and address potential hazards, ensuring compliance with safety standards.

Maintaining a valid CPR certification is required to respond effectively to medical emergencies.


Program Planning and Analysis


This position involves supporting organizational planning by performing routine liaison tasks, analyzing program and budgetary data, and monitoring expenditures. The Associate will prepare reports and materials to assist in ongoing planning efforts.


EDUCATION AND EXPERIENCE


A Bachelor's degree coupled with a minimum of five years of relevant experience is required, or an equivalent combination of education and experience.


SKILLS AND QUALIFICATIONS


Administrative Expertise: Comprehensive knowledge of administrative management principles, including travel, procurement, and human resources.

Communication Proficiency: Exceptional verbal and written communication skills for effective interaction with various stakeholders.

Organizational Abilities: Strong skills in managing multiple tasks and maintaining accurate records.

Analytical Skills: Capability to analyze policies and data to provide informed recommendations.

Technical Skills: Proficiency in office software and systems for managing databases and preparing reports.


WORK ENVIRONMENT


This role primarily operates in an office setting, requiring the ability to sit for extended periods and engage in various physical activities, including lifting and moving items as necessary.
