Event Services Coordinator

The Event Services Coordinator plays a pivotal role in managing and overseeing group events from the point of handover by the sales team through to the successful conclusion of the event. This position is essential in ensuring that all operations are profitable while maintaining exceptional service quality.
Key Responsibilities:
- Develop and nurture existing client relationships to secure future business opportunities.
- Promptly respond to inquiries from Meeting Planners.
- Collaborate with various departments to anticipate event requirements through regular meetings and communication.
- Engage with external planners and vendors to facilitate event setup.
- Ensure pricing consistency and propose premium menu options for clients.
- Manage and update rooming lists and VIP lists as necessary.
- Oversee the Sales Inventory management system to optimize revenue potential.
- Be present on-site during events to support staff and address any issues.
- Handle guest complaints efficiently and keep management informed of any significant matters.
- Work closely with Food & Beverage managers to address any related concerns.
- Prepare and submit necessary reports in a timely manner.
- Understand the setup and capabilities of meeting rooms.
- Maintain comprehensive knowledge of all hotel operational departments.
- Participate in and/or lead training sessions for hotel staff.
- Plan and execute special events in collaboration with Catering Sales Managers.
- Utilize feedback from Meeting Planner evaluations to enhance service quality.
- Coordinate the implementation of service philosophies within the department.
- Encourage team participation in departmental meetings.
- Focus on contributing to guest satisfaction and overall service scores.
- Conduct meetings in accordance with established standards.
Qualifications:
Applicants should possess a minimum of three years of progressive experience in the hospitality industry or hold a two-year college degree with at least one year of relevant experience. Proficiency in Windows and company-approved software is required. Knowledge of food and beverage preparation, health regulations, and liquor laws is essential. The role may require flexible hours and the ability to lift and move objects weighing up to 50 pounds. Candidates must demonstrate excellent communication skills, both verbal and written, and maintain a professional demeanor at all times. The ability to multitask and prioritize effectively is crucial, along with a commitment to maintaining high standards of personal appearance and compliance with company policies.
