Position Summary:
The Conference Services Manager plays a pivotal role in ensuring the seamless execution of group events. This position is responsible for overseeing all aspects of event coordination from the moment the sales team hands over the account until the event concludes, including financial reconciliation. The ideal candidate will demonstrate strong leadership skills and a commitment to maintaining high service standards.

Key Responsibilities:

  • Manage and nurture existing client relationships to secure future business opportunities.
  • Promptly respond to inquiries from Meeting Planners and provide necessary support.
  • Collaborate with various departments to anticipate and fulfill event requirements through regular meetings and communication.
  • Engage with external vendors and planners to ensure successful event setups.
  • Maintain pricing accuracy and suggest premium menu options for clients.
  • Prepare and manage rooming lists and VIP arrangements.
  • Utilize the Sales Inventory Management System to optimize event space for maximum revenue.
  • Be present on-site during events to assist staff and address any issues that arise.
  • Handle guest feedback and complaints with professionalism and efficiency.
  • Keep management informed of any significant challenges or issues requiring attention.
  • Work closely with Food & Beverage managers to address any operational concerns.
  • Prepare and submit reports as required.
  • Possess a thorough understanding of meeting room configurations and capabilities.
  • Have comprehensive knowledge of hotel operations, including guest services, reservations, and housekeeping.
  • Participate in training sessions to enhance departmental service standards.
  • Plan and coordinate special events in collaboration with Catering Sales Managers.
  • Utilize feedback from evaluations to continuously improve service quality.
  • Implement the hotel's service philosophy consistently across all events.
  • Encourage team participation in monthly meetings to foster communication and collaboration.
  • Focus on enhancing guest service and audit scores through team efforts.
  • Conduct meetings in accordance with established hotel standards.

Qualifications:

  • A minimum of 3 years of progressive experience in hospitality or a related field; or a 2-year college degree with at least 1 year of relevant experience.
  • Proficiency in Windows and standard office software.
  • Knowledge of food and beverage preparation, health regulations, and liquor laws.
  • Flexibility to work extended hours as needed.
  • Ability to lift and move objects weighing up to 50 pounds.
  • Maintain a friendly and approachable demeanor at all times.
  • Strong verbal and written communication skills with the ability to engage effectively with all levels of staff and guests.
  • Excellent listening skills to address concerns from employees and guests.
  • Ability to multitask and prioritize responsibilities to meet deadlines.
  • Commitment to attending all required meetings and training sessions.
  • Participate in Manager on Duty coverage as necessary.
  • Consistent attendance in line with hotel standards.
  • Adhere to personal grooming and appearance standards.

Compensation: Salary range of $26.44 - $32.69 per hour.
