POSITION SUMMARY: Under direct supervision, the individual is tasked with welcoming patients and assessing the purpose of their visit. This role encompasses responsibilities related to the check-in process, which includes confirming eligibility and benefits across various insurance plans, generating referral documentation, and performing data entry tasks. The position also involves addressing patient inquiries and managing the check-out process, which includes scheduling follow-up appointments and procedures conducted within the office.

PHYSICAL AND MENTAL DEMANDS: The role requires prolonged periods of standing, sitting, and focusing on a computer screen. The ability to manage stressors associated with a technical work environment, patient care, and urgent situations is essential.

WORK ENVIRONMENT: The position is set in a fast-paced atmosphere with a high volume of patient interactions during check-in and check-out. There may be opportunities for overtime, and the role requires rotation through front desk duties, phone responsibilities, and filing tasks. Flexibility to travel to various office locations is necessary.

KEY RESPONSIBILITIES:

  • Welcome all patients to the facility and assess the purpose of their visit.
  • Provide new patients with the necessary forms to create a medical record.
  • Review documents to ensure all required fields and signatures are completed.
  • Input new patient insurance details into the Ntierprise system.
  • Verify and scan patient identification and insurance cards, updating records as needed.
  • Contact patients, insurance providers, and physician offices to confirm referral statuses for upcoming appointments.
  • Respond to phone inquiries from primary care physician offices regarding patient referrals.
  • Update patient records for all referrals received through various channels.
  • Collect payments for office visits and outstanding balances, providing computerized receipts and posting payments in the Ntierprise system.
  • Balance monetary transactions on a daily basis.
  • Schedule appointments for follow-up visits and procedures.
  • Prepare follow-up appointment cards for patient reference.
  • Facilitate physician callbacks and patient follow-ups.
  • Perform various clerical tasks, including completing scripts for hospital testing and rescheduling appointments.
  • Assist staff with filing and phone duties when time permits.
  • Maintain confidentiality of patient records and demonstrate accountability for personal growth and skill enhancement.
  • Assist with office housekeeping duties as required.

EDUCATIONAL REQUIREMENTS: High school diploma or GED.

EXPERIENCE REQUIRED: A minimum of one year in a professional office setting is preferred, with a focus on customer service.

SKILLS REQUIRED: Proficient clerical skills, basic computer knowledge, and a typing speed of at least 30 words per minute. Strong communication and interpersonal skills are essential, along with self-motivation and organizational capabilities. A commitment to customer service is crucial.
