Job Title Office Administrator

This is a contract opportunity with a hybrid/remote schedule in Boston, MA. As an Administrative and Operations Assistant, you will support various tasks to ensure smooth operations and effective alumni engagement.

Key Responsibilities
  • Administrative Assistance
    • Organize event materials and supplies.
    • Process expense reports and maintain inventory.
    • Capture and distribute meeting notes and maintain email lists.
    • Prepare meeting materials and assist with meeting set-up and clean-up.
    • Run queries and reports in the database and support post-event follow-up and engagement analysis.
  • Operations Support
    • Provide reception services and maintain the cleanliness and organization of the Alumni Center.
    • Manage the Alumni Authors Collection library and coordinate alumni reservations and technology needs.
    • Maintain inventory and order supplies, handle Facilities Service Requests, and organize alumni swag and giveaways.
    • Manage mail and package distribution.

Job Skills/Requirements
  • Strong organizational and administrative skills.
  • Experience with event planning and proficient in managing inventories and supplies.
  • Effective communication and coordination skills and proficient in using databases and running reports.

Additional Information
  • Job Location: Boston, MA.
  • Schedule: Monday-Friday, 9am-5pm / Hybrid (On-site 3 days per week).
  • Benefits: Flexible schedules.

Pay Range
  • Hourly Pay Range: $19-$22/hour.
