Senior Administrative Assistant

We are seeking a highly skilled and experienced Senior Administrative Assistant to provide diversified timely and quality secretarial and administrative support services to Hospital President and leadership.
Key Responsibilities- Maintains appointment schedules and arranges meetings, conferences, schedules appointments, makes travel arrangements and keeps supervisors abreast of scheduled commitments.
- Assembles, prepares and/or composes a variety of confidential memorandums, reports, charts, schedules, etc. from information provided from multiple sources.
- Takes dictation and/or transcribes handwritten material, proofreads for accuracy and completeness.
- Coordinates office activities to ensure its efficient operation. Makes decisions on minor administrative matters; interprets policies and procedures as directed.
- Arranges for meetings (including site, seating arrangements, food, etc.) and re-confirms one day prior to meeting.
- Responds to a variety of hospital callers and visitors requesting information. Maintains familiarity with the hospitals policies and procedures and operation to be factual in answering inquiries.
- Demonstrates good judgment in screening and/or routing calls. Tactfully handles difficult situations; all contacts are handled professionally and with courtesy.
- Establishes, maintains, and revises accurate record keeping and filing systems. Designed to allow for easy retrieval of information. Classifies, sorts and files correspondence, records, and other highly confidential documents.
- Requires a high school diploma with 4-6 years of experience in the field or in a related area.
- Three (3) years successful experience providing secretarial services in support to management level functions.
- Must type 55 wpm accurately.
- Proficient in Microsoft Office.
- Ability to maintain extreme confidentiality.
- Must possess excellent writing and communication skills.
- Ability to interact politely and diplomatically with hospital contacts.
- Flexibility and the ability to work under pressure with frequent interruptions.
- Knowledge of the healthcare field and hospital organization preferred.
