The Office Manager plays a critical role in ensuring the smooth operation of our site. As the primary point of contact, they oversee all site activities and manage day-to-day operations.

Key Responsibilities:

  • Manage site operations, including Reception, Security, Business Continuity, Emergency Response Planning, Environmental Health and Safety programs, Ergonomics, Green Initiatives, Sustainability, Food Services, Supplies, Record Retention, Asset Management, Recycling, Satisfaction Surveys, and Transport Services.
  • Partner with Site Leadership and RESS Regional Lead to create a positive Employee Experience by anticipating and responding to individual, team, and site-level needs.
  • Develop and implement site-level initiatives, leveraging RESS Regional Lead for best practices.
  • Manage site operational costs and budgets, collaborating with RESS Regional leadership to optimize FM costs and improve services.
  • Oversee contract administration, insurance, and risk management for all site services and vendors.
  • Provide and manage regular site occupancy plans, seating assignments, and leverage RESS to develop options for business space needs.
  • Manage office moves, expansions, and facilities projects, including HVAC, electrical, and plumbing.
  • Serve as primary liaison for property management services provided by the landlord.
  • Manage visits for internal and external guests, including regulatory agencies.
  • Support and coordinate Corporate Shipping, Receiving, and Global Trade functions.
  • Provide local HR support for onboarding and orientation, university relations, recruiting.
  • Coordinate with IT team for new hires, telecom, videoconferencing, and lab/site requirements.
  • Organize and implement Global Citizenship initiatives for the site, including employee events, charitable giving, and community relations events.

This position requires on-site attendance and is not suited for remote work.
