Out-of-School Program Assistant Coordinator

Position: Part-time, 25 hours/week

Schedule: Monday-Friday, approximately 1:00 - 6:00 PM

Reports to: Out-of-School Time Operations Manager

Supervises: None

Position Overview
The Out-of-School Program Assistant Coordinator plays a vital role in fostering a secure, tidy, and welcoming environment for after-school programs. This individual will oversee and assist elementary students, ensuring their safety and well-being. Responsibilities include supporting the Site Coordinator with daily and weekly planning, engaging students through diverse activities, and leading educational sessions. Additionally, assistance with personal hygiene tasks is required.

The Assistant Coordinator will aid in behavior management and maintain daily communication with parents. Record-keeping responsibilities include managing student information, tracking attendance, and overseeing snack records.

This role necessitates participation in meetings and training sessions, embracing diversity, and upholding confidentiality.

Key Responsibilities

Program Management
  • Ensure a safe, clean, and inviting environment in compliance with all licensing regulations.
  • Supervise and support elementary students in a nurturing and enriching atmosphere.
  • Maintain active supervision of students, ensuring visibility and the ability to intervene when necessary.
  • Assist the Site Coordinator in executing daily and weekly program schedules.
  • Engage with students through various activities, including games and discussions.
  • Plan and deliver a minimum of four educational sessions each month.
  • Assist students with personal hygiene needs, which may include diaper changes and toileting support.
  • Implement behavior management strategies as outlined in organizational policies and individual behavior plans.
  • Communicate daily with parents regarding student progress and challenges.
  • Educate parents on check-in/out procedures and enrollment processes.
  • Ensure safe transportation for students, which may involve completing necessary training and providing transportation when required.
  • Monitor staffing levels to maintain appropriate child-to-staff ratios and report any issues to the Operations Manager.

Record Management
  • Assist the Site Coordinator in maintaining organized site binders with essential student information.
  • Support accurate recording of student attendance.
  • Help maintain snack records and other required documentation.

General Duties
  • Recognize and appreciate diversity within the workplace.
  • Attend scheduled meetings and mandatory training sessions.
  • Complete all required training within designated timeframes.
  • Report any safety, maintenance, or equipment issues promptly.
  • Serve as a positive role model for students by being an engaged and proactive team member.
  • Maintain confidentiality regarding sensitive information.
  • Report any suspected instances of child abuse or neglect to the appropriate authorities.

Qualifications
Preferred qualifications include:
  • A valid Child Development Associate (CDA) credential or a similar qualification focused on the care of school-aged children, along with one year of relevant experience.
  • Two years of college coursework in education and one year of relevant experience in supervising school-aged children.
  • Two years of documented experience in the care and supervision of school-aged children in a childcare setting.

Strong interpersonal skills and the ability to establish positive relationships with school personnel, students, parents, and the community are essential. Excellent verbal and written communication skills are required, along with the ability to make informed decisions independently.

Physical Requirements
A. Ability to stand, walk, sit, manipulate objects, reach above shoulders, speak, and bend regularly.
B. Capability to lift, carry, push, or pull up to 50 lbs consistently.
