Reports To: Operations Manager for Out-of-School Time

Supervises: Youth Development Professionals and Assistant Youth Development Professionals

Position Overview

The Site Coordinator is essential in ensuring the effectiveness of our out-of-school time initiatives for elementary-aged children. With a proactive and positive mindset, this role oversees daily operations, ensures adherence to licensing regulations, and empowers our team of Youth Development Professionals. Key responsibilities include crafting engaging schedules, developing educational lesson plans, maintaining accurate student records, and supporting students in cultivating positive behaviors. The ultimate goal of this position is to create safe, enjoyable, and enriching environments that promote both academic and social development for elementary students.

Key Responsibilities

Program Management
  • Ensure a safe, clean, and welcoming out-of-school time environment that complies with all licensing requirements.
  • Supervise and support elementary students in a secure and enriching setting.
  • Guarantee active supervision of students, ensuring visibility and accessibility to intervene as needed.
  • Develop and implement daily and weekly site schedules.
  • Engage actively with students through games, play, and conversation.
  • Plan and facilitate a minimum of four educational lessons each month.
  • Create a lesson plan schedule, assign tasks to Youth Development Professionals, review lesson plans, and provide constructive feedback.
  • Assist students with personal hygiene needs, including diaper changes and toileting assistance.
  • Support students and implement consequences as outlined in organizational policies and any documented behavior plans.
  • Procure necessary supplies for activities, monitor expenditures, and adhere to budget constraints.
  • Communicate with parents daily, sharing both positive feedback and challenges.
  • Educate parents on check-in and check-out procedures, enrollment processes, etc.
  • Ensure safe transportation for students, which may involve completing van driver training and providing transportation as needed.
Record Keeping
  • Maintain site documentation with essential student information.
  • Accurately track student attendance and communicate any enrollment changes.
  • Maintain snack records and other required documentation accurately.
Supervisory Duties
  • Identify strengths and areas for improvement among Youth Development Professionals and provide appropriate guidance.
  • Facilitate weekly site meetings.
  • Review and approve timekeeping for Youth Development Professionals.
  • Conduct annual performance reviews for Youth Development Professionals.
  • Review weekly staffing schedules.
  • Report any staff absences to the Operations Manager for Out-of-School Time.
  • Monitor staffing levels to ensure appropriate staff-to-child ratios and report any issues immediately.
Data Management
  • Participate in regular meetings with external evaluators.
  • Collaborate with the Director of Out-of-School Time Programs and external evaluators to complete required reporting.
General Responsibilities
  • Recognize and appreciate diversity within the workplace.
  • Attend scheduled meetings and required training sessions.
  • Complete all mandatory training as required by licensing and the organization within specified timeframes.
  • Report any safety, maintenance, or equipment concerns promptly.
  • Serve as a positive role model for students by being an engaged and active team member.
  • Maintain confidentiality regarding sensitive information.
  • Report any instances or suspicions of child abuse and neglect to the appropriate authorities.
Qualifications

Preferred qualifications include one of the following:
  • Bachelor's Degree in Education or Human Development.
  • A valid Child Development Associate (CDA) credential or a similar credential focused on the care of school-aged children, along with one year of verifiable experience supervising four or more school-aged children.
  • Two years of college coursework in Education with an emphasis on lesson planning, human growth and development, behavior management, and related fields, plus one year of verifiable experience supervising four or more school-aged children.
  • Four years of verifiable experience in the care and supervision of four or more school-aged children in a childcare setting, where the children are not related to the caregiver.
Strong ability to establish and maintain working relationships with school administrators, personnel, students, parents, and the community is required. Excellent verbal and written communication skills are essential. The ability to make quick and independent decisions, along with the discretion to seek guidance when necessary, is also required.

Physical Requirements

  1. Ability to stand, walk, sit, manipulate objects, reach outward and above shoulders, speak, and bend on a daily basis.
  2. Capability to lift, carry, push, or pull up to 50 lbs regularly.
