Job Overview

This pivotal position is designed to deliver exceptional administrative support to Financial Advisors, their current and prospective clients, as well as other branch personnel.

The perfect candidate will possess strong communication skills across various platforms (phone, email, in-person, virtual) and demonstrate the ability to organize, manage, and track multiple detailed tasks and assignments, all while adapting to frequently changing priorities and deadlines in a fast-paced work environment.

Key Responsibilities


Manage a high volume of daily interactions, including basic inquiries and meeting scheduling, with both prospective and existing clients through various communication channels.

Collaborate both independently and within a dynamic team to provide essential support to financial advisors and branch operations.

With a keen eye for detail, process client financial transactions along with financial advisor and branch office expenses and reports.

Open new client accounts and conduct research on client and security information utilizing internal databases and other technologies.

Ensure that client paperwork and documentation are accurate and compliant with firm and industry standards prior to submission and processing, and follow up to confirm completion.

Prepare letters, forms, and reports to assist in servicing existing clients and attracting new clients.

Generate various business summary reports and client-specific documentation as required for financial advisor review.

Utilize Client Relationship Management (CRM) software to create and maintain records and files.

Support Financial Advisors in marketing initiatives, including seminars and other client-facing events.

May enter orders under the direction of the Financial Advisor.

Engage actively in available training and professional development opportunities to stay current on firm and industry policies and procedures.

Perform additional duties and responsibilities as assigned.

Qualifications


Knowledge, Skills, and Abilities

Familiarity with the company's structure, policies, mission, and strategies.

Understanding of general office practices, procedures, and methods.

Knowledge of investment concepts, practices, and procedures utilized in the securities industry.

Awareness of financial markets, products, and industry regulations.

Proficiency in Client Relationship Management (CRM) software or similar contact management systems.

Competence in Excel, including the ability to develop spreadsheets for ongoing reporting.

Effective communication skills across multiple client interaction platforms (in-person, virtual, phone, and mail).

Ability to operate standard office equipment and use required software applications to produce correspondence, reports, electronic communication, spreadsheets, and databases.

Capability to analyze and research account information.

Strong organizational skills to manage and track multiple detailed tasks and assignments in a fast-paced environment.

Ability to identify time-sensitive items and prioritize effectively.

Proactive in following up on submitted items to ensure completion and resolve any issues or concerns.

Ability to handle stressful situations while providing a high level of customer service in a calm and professional manner.

Analytical skills to identify problems and establish solutions in a dynamic environment.

Mathematical skills sufficient to process account and transaction information.

Interpersonal skills to communicate effectively, both orally and in writing, with all organizational levels.

Ability to work independently as well as part of a cohesive team.

Educational/Previous Experience Requirements


Education/Previous Experience

A High School Diploma or equivalent, along with one (1) or more years of experience in the securities industry or a related field is preferred.

An equivalent combination of experience, education, and/or training may be considered.
