Land Use Legal Administrative Coordinator
We are seeking a highly skilled and organized individual to join our team as a Legal Administrative Coordinator in the Land Use Practice Group. This role will provide administrative support to attorneys, ensuring the timely and accurate completion of tasks.
Key Responsibilities:
- Provide exceptional customer service, answering phone calls, relaying messages, and greeting clients.
- Ensure timely and accurate mail distribution, including regular, certified, and overnight mail.
- Assist in drafting, managing, and organizing documents related to real estate transactions, such as escrow instructions, title and survey review, and closing documents.
- Anticipate and meet the needs of assigned attorneys to promote timekeeper efficiencies, drafting correspondence and preparing legal documents.
- Accurately complete timesheet entry, review, and revision.
- Review and ensure accuracy of vendor invoices, submitting them to clients or accounting for payment in a timely manner.
- Prepare accurate check requests and assist with expense reimbursements.
- Participate in reviewing and submitting prebills and/or client bills.
- Manage calendars, reviewing and following up on client deadlines, scheduling appointments for attorneys, and coordinating meetings.
- Prepare and submit client intake forms accurately.
- Update client files and notebooks regularly.
- Demonstrate strong clerical skills, including typing, word processing, mail management, spreadsheets, presentations, and proficiency in the Firm's systems and databases.
Requirements:
- Demonstrated knowledge of legal terminology, documents, and processes in the Land Use Department.
- Strong computer proficiency in Microsoft 365 (Word, Excel, PowerPoint, and Outlook).
- Experience working with document management systems (iManage experience a plus).
- Ability to coordinate multiple tasks concurrently, meet deadlines, and maintain a professional demeanor.
- Excellent communication skills, both written and verbal, with a demonstrated understanding of correct grammar, spelling, and punctuation.
- Strong time management skills and ability to work under pressure in a fast-paced environment.
- Exemplary organizational and interpersonal skills with a high attention to detail.
- Able to think critically, show initiative, and adapt to change.
- Handle confidential documents and information appropriately.
- Contribute to and execute team goals, offering assistance when needed.
