Position Overview:
The United States Courts is currently seeking applications for the role of Operations Specialist at the entry level, with opportunities for advancement following successful training.
Applicants must utilize the court's online application system and provide a cover letter, resume, and two professional references.
In this entry-level position, the Operations Specialist will undertake various responsibilities, including processing payments, managing case assignments, and overseeing mail operations.
Upon completion of entry-level training, an Operations Specialist may progress to learn about case filing docketing and the auditing of case files to ensure compliance with court standards.
Once fully trained in docketing and auditing, the Operations Specialist can seek opportunities to serve as a courtroom deputy, assisting judges during court sessions, documenting key outcomes, and managing case-related documents.
The advancement through the levels is determined by the candidate's initiative and proficiency in mastering required skills.
Key Responsibilities:At the CL 24 Level:
- Collects payments from clients in cash or check for bonds, fines, and fees, ensuring daily reconciliation of collected funds and compliance with court policies.
- Manages mailroom operations, including the collection, sorting, and distribution of mail.
- Verifies attorney admissions to practice, provides requested files or document copies, and assigns new civil and criminal cases.
- Processes requests for certified copies, assigns case numbers and judges, and manages prisoner correspondence.
At the CL 25 Level:
- Prepares and issues legal documents such as summons, notices, and judgments; maintains records of pleadings and motions on the Case Management/Electronic Case Files (CM/ECF) system.
- Responds to inquiries regarding case statuses and assists the public with electronic filing in a professional manner.
- Ensures proper documentation is placed on the record and audits submissions for compliance with court guidelines.
- Closes cases upon receipt of final documents, such as judgments and closing orders.
At the CL 26 Level:
- Facilitates the smooth operation of court proceedings, including courtroom setup, managing exhibits, and taking notes of rulings and proceedings.
- Maintains oversight of cases assigned to the judge, ensuring all filings conform to procedural rules.
- Schedules and regulates the progress of cases, notifying involved parties of hearing dates and following through until resolution.
- Acts as a liaison between attorneys and the judge, providing information on procedural matters and maintaining communication regarding case statuses.
General Requirements:
- Strong customer service skills are essential for success in this role.
- Candidates should possess the ability to deliver clear oral and written instructions, demonstrate strong organizational skills, and prioritize tasks effectively.
- A foundational understanding of courtroom operations, legal terminology, and clerical processes is preferred but not mandatory.
- Attention to detail is critical, as it is a key competency for this position.
- Proficiency in automated systems such as Word, Outlook, CM/ECF, PACER, and other data entry platforms is required.
- While a bachelor's degree is preferred, candidates must have at least an associate degree. Paralegal qualifications or experience are advantageous.
- Candidates should exhibit a professional demeanor and attire suitable for a court environment.
