Job Overview

Datamark, Inc. is seeking a highly organized and detail-oriented Office Services Professional to support the corporate office. As a key member of the team, you will play a multifaceted role in ensuring a smooth and efficient working environment.

In this position, you will be responsible for developing and executing administrative functions, systems, and internal communication strategies in support of business goals and culture. You will manage the coordination, supervision, and completion of special projects and events, and provide exceptional support to the corporate office.

Responsibilities:

  • Assist in the planning and execution of corporate-sponsored events, including annual, semi-annual, and quarterly events.
  • Support the administration of the company documentation system infrastructure and internal workflows associated with the intranet portal.
  • Create and maintain standards to ensure quality control of content on the intranet, provide user-end training, and work closely with subject matter experts to understand and support internal communication needs.
  • Develop content and communications in alignment with company initiatives, projects, and distribute to internal stakeholders via the intranet.
  • Identify opportunities and implement solutions that drive usage, streamline processes, and facilitate communications, including developing goals and strategies for future content growth.
  • Parking management, including enrolling, discontinuing, and validating parking for corporate office guests and visitors.
  • Manage badges and entry into the corporate office, coordinate, and audit, provide loaner badges.
  • Supply orders, manage the supply inventory for the third and fourth floors of the corporate office, and place supplies out where needed for use.
  • Fire warden duties, select fire wardens, and communicate with property management when fire drills are taking place.
  • Office maintenance, provide general office maintenance and cleanliness of the office, including the microwave, kitchen, fridge, and eating areas for the fourth floor, and assign and oversee representatives for the third floor.
  • Receive and direct guests to the corporate office.
  • Manage packages and deliveries of packages.
  • Submit office maintenance work orders and track progress.
  • Oversee facilities maintenance schedules for the corporate office and track facilities management schedules for other company sites.

Requirements:

  • Bachelor's degree in business or equivalent experience with increasing responsibility and measurable accountability.
  • At least two years of experience in a highly organized environment.
  • At least one year of experience in CRM solutions.
  • At least two years of experience in event planning (preferred).
  • High level of confidentiality, discretion, integrity, and reliability.
  • Highly organized and experienced at successfully multi-tasking with the ability to sort and manage a broad array of information into a coherent structure.
  • Strong oral and written communications skills that demonstrate a professional demeanor and the ability to interact with others with discretion and tact.
  • Demonstrated ability to write clear, concise, conversational, grammatically correct documents.
  • Proficient technical skills to learn and use other applications and tools.
  • High attention to detail and problem-solving with a keen sense of creative thinking.
  • High level of proficiency with MS Office suite.
  • Working knowledge in a current version of Adobe Creative Suite software; familiar with other design, web, and multimedia software and applications.
  • Good collaboration skills, applied successfully within teams as well as with other areas.
  • Self-motivated with the ability to complete projects in a timely manner.
  • Strong interpersonal and customer service skills with a history of building productive relationships.
  • Ability to work independently with general and minimal supervision.
