We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative and general project support to various departments and senior leaders within the bank.
Key Responsibilities- Screen incoming calls and correspondence, responding independently when possible, and serve as the point of contact for outside clients and internal employees.
- Manage calendars and schedule appointments, coordinate meetings, conference calls, and other executive events.
- Coordinate travel arrangements for department heads and/or team members, handle travel logistics, and manage expense reimbursement processes.
- Serve as a gatekeeper and facilitator for daily activities, maintain databases, and create and maintain hard copy and electronic filing systems.
- Provide administrative support on various projects as necessary.
- Bachelor's degree and 1-2 years of experience working in a professional environment.
- General knowledge and work experience within the securities industry is a plus, but not required.
- Excellent verbal and interpersonal skills, as well as professional phone demeanor.
- Ability to demonstrate discretion in handling confidential data and dealing with high-level executives.
- Excellent organizational skills with attention to detail, ability to prioritize and handle multiple concurrent activities and competing priorities while meeting hard deadlines.
- Strong working knowledge of MS Office, including Excel and PowerPoint.
- Ability to quickly become familiar with complex processes and business tools and systems.
