Job Summary

We are seeking a highly organized and detail-oriented Finance Operations Coordinator to provide administrative support to the Finance Department at Charter Schools USA. The successful candidate will be responsible for monitoring, managing, and coordinating various activities and programs related to Accounts Payable, Corporate Credit Cards, and Corporate Travel and Expense reporting.

Key Responsibilities
  • Front-end Operations
    • Manage the corporate credit card program, including processing applications and vendor setup and maintenance.
    • Coordinate business filings for over 200 entities.
    • Process sales tax exemption applications and renewals.
    • Assist with monthly reporting of all credit card activity and reconciliation of corporate travel.
    • Back up the monthly audit of all employee travel profiles.
  • Back-end Operations
    • Assist with the management of platforms for company travel and credit card programs.
    • Generate and analyze system reports to ensure compliance with company policy related to corporate credit cards and travel.
    • Oversee and manage activities of the travel program to ensure timely processing and quality assurance.
    • Back up the processing of confidential Accounts Payable entries and payments.
    • Back up the business filings for over 200 entities.
  • Administrative Support
    • Provide support to increase the effectiveness and efficiency of all related travel and expense policies and procedures.
    • Offer optimal customer service support for employee travel and corporate credit card concerns.
    • On-board new employees with the travel booking platform and travel program initiatives.
    • Serve as a liaison between internal customers and third-party service providers.
    • Review and approve travel profile requests.
    • Assist with monthly reporting of airline rewards.
    • Assist cardholders with reconciling and resolving fraud cases.
    • Assist with various improvement projects.
    • Manage projects, track status, coordinate testing efforts, and prepare test cases.
    • Provide overall administrative support to the Director.
    Requirements
    • Bachelor's degree in a business-related field.
    • 2+ years of related work experience.
    • Project management experience is preferred.
    • Proficient user of computer systems, with the ability to utilize MS software applications in a Windows environment.
    • Experience with advanced Excel functions.
    • Experience with NetSuite.
    • Ability to create materials and provide presentations.
    • Ability to effectively communicate with and support all levels within the organization.
    • Confidentiality.
