Position Overview:

As a vital member of the Viva Eve team, the Customer Care Specialist plays a crucial role in being the first point of contact for our patients. This position is essential in guiding them through our distinctive services and ensuring they are well-prepared for an exceptional healthcare journey. The ideal candidate will demonstrate a high level of professionalism, commitment, and teamwork.

Work Environment:

  • Schedule: Monday to Friday, with available shifts from 8 AM to 4 PM or 11 AM to 7 PM. Flexibility in availability is essential.

Key Responsibilities:

  • Assist new patients with necessary forms and inquiries prior to their initial visit.
  • Reach out to patients who have missed or canceled appointments.
  • Address and resolve inquiries and concerns from new patients.
  • Manage phone inquiries from prospective patients and act as the primary contact for business-related communications.
  • Support in scheduling appointments for new patients.
  • Inform new patients about our services, insurance details, operational hours, and other relevant information.
  • Promptly follow up with incoming leads.
  • Maintain courteous and professional interactions with patients over the phone.
  • Utilize Electronic Medical Records (EMR) and Salesforce effectively to document patient information.
  • Collaborate with team members and insurance companies to secure authorizations and verify coverage.
  • Record patient referrals in our EMR and CRM systems.
  • Perform general administrative tasks while ensuring confidentiality of sensitive information.
  • Consistently adhere to HIPAA regulations.

Qualifications:

  • At least 1 year of experience in customer service, patient services, or related fields.
  • A diploma from a college or junior college or equivalent experience is preferred.
  • Strong communication skills across diverse backgrounds and cultures.
  • Proficient in Microsoft Office, Google Suite, and ideally, have experience with EMR/EHR systems.
  • Familiarity with medical terminology and experience in insurance verification is advantageous.
  • Bilingual skills and experience with CRM systems are beneficial.
  • Excellent multitasking and organizational abilities.
  • Adaptable and willing to thrive in a dynamic work environment.

Compensation and Benefits:

  • Salary: $18-$22 per hour.
  • Benefits: Comprehensive package including PTO (Paid Time Off), 401(k), Medical, Dental, Vision Insurance, and Pre-tax Commuter benefits.
