Key Responsibilities:

  • Communicate with vendors regarding billing invoices, deliveries, and item needs.
  • Assist with general accounting, data entry, and parts inventory management.
  • Process accounts payable and maintains purchase order logs.
  • Review mechanic's daily work orders for services performed and parts used.
  • Prepare reports and maintain organized files.
  • Schedule and manage licensing and permitting activities.
  • Develop strong vendor relationships and negotiate for better pricing and terms.
  • Handle inventory purchasing, tracking, and distribution.
  • Perform daily fuel and oil readings and manage vehicle mileage reports.
  • Complete special projects and additional duties as assigned.

Requirements:

  • 2-4 years of shop administrative experience preferred.
  • Excellent organizational and communication skills with a solid attention to detail.
  • Ability to handle multiple tasks simultaneously while prioritizing effectively.
  • Basic proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and familiarity with Office 360.
  • Automotive or heavy-duty parts experience is a plus.
  • Valid driver's license; ability to lift over 50 lbs may be required.
  • Experience in inventory management and supply purchasing preferred.
