Job Title: Administrative Services Associate

Penn Medicine is a leading academic medical center dedicated to providing exceptional patient care, conducting innovative research, and educating future healthcare professionals.

This role is part of our Clinical Practices of the University of Pennsylvania (CPUP) team, working in the Abramson Cancer Center Radnor location. As an Administrative Services Associate, you will play a vital role in supporting the management of a clinical practice, coordinating patient-related activities, and ensuring seamless communication between patients, providers, and staff.

Key Responsibilities:
  • Triage and respond to patient inquiries, taking messages and providing information to internal and external customers
  • Schedule outpatient appointments, surgeries, procedures, and diagnostic tests as requested
  • Obtain procedural and medical authorizations, prepare and process billing, and prepare correspondence
  • Coordinate patient care, including retrieving and processing medical records, ensuring diagnostic testing, and assisting attending physicians with office hours
  • Travel to clinic locations as needed, schedule procedures and lab tests, and coordinate pre-operative packages
  • Process medication refill requests, triage to clinical staff, and complete medication authorizations and prior authorizations
  • Coordinate and schedule cases with medical equipment representatives, obtain medication pricing and coverage information, and initiate Tier 1 prescription exemptions
  • Schedule tests, procedures, and clinical follow-up services as requested by providers, complete medical records requests, and handle patient correspondence
Requirements:
  • High School Diploma/GED (required)
  • 4+ years of medical office experience or 4 years of customer service experience with related clinical office experience
  • Prior customer service or insurance verification experience in a healthcare setting preferred
