ROLE SUMMARY

The Administrative Coordinator is tasked with a variety of operational and administrative responsibilities at the regional office. This role is crucial for ensuring seamless collaboration across all departments within the region.


KEY RESPONSIBILITIES
  • Reception Duties
    • Welcoming visitors and overseeing their access to the premises.
    • Managing incoming calls.
    • Scanning and indexing invoices.
    • Handling cash receipts and maintaining logs.
    • Sorting and distributing incoming mail.
    • Preparing outgoing mail, including scheduling pickups with carriers.
  • Facility Management
    • Overseeing the facilities operations for the office.
    • Issuing access keys for staff.
  • Office Administration
    • Coordinating the setup of equipment for new hires.
    • Maintaining and updating operational documentation.
    • Ordering office supplies and furniture.
    • Managing vendor information for office-related purchases.
    • Arranging catering for meetings and events.
    • Planning various regional activities.
  • Operational Support
    • Facilitating the onboarding process for new craft hires.
    • Assisting project managers with supply orders for construction sites.
    • Coordinating project meetings.
    • Supporting the estimating team during bidding processes.
    • Distributing necessary cards and registrations to field teams.
    • Ordering safety gear for new employees.
    • Providing additional operational support as required.
QUALIFICATIONS

The ideal candidate should possess the following skills and experience:

  • A minimum of 4 years in administrative support roles for senior management.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Strong verbal and written communication skills.
  • Ability to interact effectively with all organizational levels.
  • Critical thinking skills for problem-solving and data analysis.
  • Ability to perform well under pressure and manage multiple priorities.

Hourly rate: $18-24
