Job SummaryWe are seeking a highly skilled Practice Support Team Specialist to provide administrative support to our Banking, Finance, and Real Estate Practice Group. The successful candidate will be responsible for coordinating workflow, preparing documents, coordinating schedules, and providing general administrative support.
Key Responsibilities- Coordinate all workflow for assigned attorneys, delegating specific tasks to other teams, including follow-up and quality control.
- Prepare documents: type, transcribe, revise, and proofread legal documents accurately, prioritize assignments, and meet specific deadlines on projects.
- Coordinate schedules: assist in coordinating timekeeper calendars, meeting arrangements, make travel arrangements, and prepare itineraries.
- Coordinate accounting administrative functions: coordinate client billing matters, prepare billing letters, and other requested client financial updates; assist attorneys with tracking and monitoring alternative fee arrangements; assist attorneys with automation, tracking, and monitoring of matter budgets.
- Process new client/matter intake: prepare and process new matter forms, request conflict checks, and open new files.
- Process mail: review and route incoming mail and fax communications, prepare and process outgoing mail and faxes, arrange for specialized mail or messenger services as required, ensure that all attachments, exhibits, and enclosures are included.
- Provide general administrative support: maintain attorney contacts, track requirements and activity related to CLE and memberships.
- Work collaboratively in a team: proactively demonstrate effective teamwork and communication with team members and all Firm personnel, actively participate in regular team meetings to discuss current projects and workflow, take personal responsibility for regularly exchanging information and training tips with team members for maximum job effectiveness.
- Effectively use team software to log and manage workflow.
- Show proficiency in Banking, Finance, and Real Estate law, supporting our Banking, Finance, and Real Estate practice group: e-filing, calendar coordination, document edits, and pleadings.
- Other: operate office equipment, including PCs, printers, phones, copiers, facsimiles, and typewriters, cope successfully with demands from timekeepers, remaining calm under pressure, conduct all business in a confidential manner.
- High School Diploma or GED required; 2-year degree preferred.
- 3-5 years of legal experience with a heavy focus on Banking, Finance, and Real Estate is required.
- Minimum typing speed of 60 wpm.
- Proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel.
- Proficiency in Adobe Acrobat.
- Previous transcription experience preferred.
