Eastridge Workforce Solutions is a leading provider of workforce management solutions, committed to connecting skilled professionals with meaningful career opportunities. We are seeking a Front Office Coordinator for a company dedicated to developing new products for the ophthalmic market.

Key Responsibilities:

  • Provide front desk coverage, ensuring a professional and welcoming atmosphere for guests and clients.
  • Direct visitors to the appropriate person and office, utilizing excellent communication and interpersonal skills.
  • Answer, screen, and forward incoming phone calls, ensuring timely and accurate responses.
  • Maintain a tidy and organized reception area, with all necessary stationery and materials readily available.
  • Provide basic and accurate information in-person and via phone/email, demonstrating a high level of professionalism and courtesy.
  • Receive, sort, and distribute daily mail and deliveries, ensuring prompt and efficient processing.
  • Maintain office security by following safety procedures and controlling access via the reception desk, monitoring the logbook and issuing visitor badges as needed.
  • Order front office supplies and maintain inventory of stock, ensuring a well-stocked and efficient workspace.
  • Update calendars and schedule meetings, utilizing effective time-management and organizational skills.
  • Arrange travel and accommodations, and prepare vouchers, demonstrating a high level of attention to detail and customer service.
  • Keep updated records of office expenses and costs, ensuring accurate and timely financial reporting.
  • Perform other clerical receptionist duties, such as filing, photocopying, transcribing, and faxing, as needed.

Requirements:

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, with a strong understanding of office software and equipment.
  • Hands-on experience with office equipment, such as fax machines and printers.
  • Professional attitude and appearance, with excellent written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise, with a customer service attitude and a commitment to excellence.
  • Excellent organizational skills, with the ability to multitask and prioritize tasks effectively.
  • High school degree; additional certification in Office Management is a plus.
