Key Responsibilities:

  • Provide exceptional customer service to patients, medical staff, and other stakeholders.
  • Relay medical questions from patients to the appropriate provider or resource via electronic medical records in a professional, concise, and accurate manner.
  • Document patient communication in medical records and escalate concerns or questions to the Practice Manager/Supervisor when necessary.
  • Respond to patient messages and process in-baskets in electronic medical records between team members and providers.
  • Enter orders into electronic medical records and maintain accurate scheduling records.
  • Answer a high volume of patient phone calls, triage, and schedule clinic appointments with providers and for testing.
  • Monitor schedules and report scheduling problems to the Practice Manager/Supervisor.
  • Responsible for maintaining a high level of scheduling accuracy and make outgoing rescheduling calls as needed.
  • Manage and work the waitlist regularly and as openings in the schedule arise.
  • Work on recall reports and follow up as needed.
  • Document no-show appointments and handle patient follow-up.
  • Schedule MRI, CT, labs, and pathology tests.
  • Perform general administrative tasks, including faxing, importing paperwork, processing patient referrals, and handling mail.
  • Process RX refills and PAs for RX refills for the specialty.

Requirements:

  • At least one year of customer service and healthcare experience; at least three years for Patient Care Coordinator III.
  • Bachelor's degree preferred.
  • Experience using electronic medical records, specifically Epic, preferred.
  • Strong verbal and written communication skills, as well as attention to detail.
  • Ability to work in Microsoft Outlook, SharePoint, and Teams with a strong knowledge base of all three.
  • Advanced skill in multi-tasking and ability to prioritize functions based on business need.
  • Ability to work with difficult people in challenging, sometimes stressful, situations.
