Position Overview: The Payroll Operations Coordinator is tasked with the precise and prompt execution of payroll for multiple clients, ensuring adherence to various state employment and taxation regulations.

Reporting Structure: Reports to the Director of Human Resources

Key Responsibilities:

  • Guarantees the accurate and timely payroll processing for designated clients, encompassing new hires, terminations, salary adjustments, benefits, garnishments, taxes, and other payroll-related modifications.
  • Handles off-cycle payrolls as required.
  • Issues checks or direct deposits to rectify payroll discrepancies or for final discharges.
  • Conducts reconciliations of payroll with the general ledger.
  • Performs monthly, quarterly, and annual payroll reconciliations against contracts, providing precise payout details for the finance department's assessment.
  • Establishes and maintains annual payout reconciliations for all payrolls.
  • Reconciles quarterly tax filings for all federal, state, and local taxes across various jurisdictions.
  • Develops and maintains late hire calculation spreadsheets for clients.
  • Creates payroll calendars tailored for clients.
  • Prepares and maintains comprehensive records and reports of payroll transactions.
  • Ensures compliance with federal, state, and local payroll, wage, and hour regulations.
  • Facilitates workers' compensation audits as necessary.
  • Reconciles W-2 forms.
  • Performs additional duties as assigned by the manager.

Required Skills and Qualifications:

  • In-depth knowledge of payroll functions, including preparation, balancing, internal controls, and payroll taxation.
  • Familiarity with multi-state compliance regulations.
  • Proficient in payroll software or possesses the ability to learn efficiently.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong analytical and problem-solving capabilities.
  • Proficient in Microsoft Office Suite or similar software.

Education and Experience:

  • High school diploma or equivalent.
  • A minimum of five years of payroll experience, with at least one year in accounting or bookkeeping preferred.
  • Payroll certification is preferred or the ability to obtain it within one year.
