Job Overview

The IT Asset Management Specialist is accountable for the accurate and timely management of IT assets, aligning with key corporate goals by overseeing costs, enhancing operational efficiency, ensuring compliance, and reducing security and financial risks.


Key Responsibilities
  • Maintains a detailed inventory of software and hardware assets, leveraging this data to inform decisions regarding IT purchases and allocations.
  • Follows established processes, policies, and standards to effectively manage the organization's IT asset portfolio, focusing on cost control, risk management, compliance, business performance objectives, and IT governance.
  • Updates records and systems with essential information such as licenses, service agreements, and warranties for software and hardware components.
  • Analyzes expenditures to optimize costs, ensure compliance, and streamline procurement processes.
  • Conducts regular reconciliations of owned, installed, and recorded assets to maintain accurate inventories and effective record management.
  • Assists in modifying hardware/software assets in accordance with IT Change Management protocols or other relevant procedures.
  • Manages budget allocations and secures financial approvals for new software acquisitions and renewals.
Nature and Scope
  • Exhibits proficiency in data analysis techniques, addressing complex research/data discrepancies and anomalies.
  • Operates with increasing independence, seeking guidance only for unusual or complex issues. Output is periodically reviewed by a supervisor or direct customers.
  • May provide guidance or training to junior staff members.
Work Environment
  • This is an office-based role with occasional minor discomfort. Most of the time is spent sitting comfortably with opportunities for movement. Light lifting may be required occasionally.
  • Minimal travel is expected, typically less than 10% overnight.
Education and Experience
  • Bachelor's degree in a related field with 2-5 years of experience OR Master's degree with 2-4 years of experience. Certification may be required in specific areas.
Preferred Qualifications
  • Bachelor's degree in business administration, computer science, management information systems, or equivalent work experience.
  • Three to five years of experience in asset management with exposure to financial asset management.
