Job Overview
GENERAL PURPOSE
The Administrative Support Specialist in the Business Office at Gracedale Nursing Home is responsible for delivering exceptional administrative assistance to the Business Office Manager and Fiscal Specialists within the Billing Department. This role involves independently managing and executing critical processes that support the department's objectives. Responsibilities include:
Key Responsibilities
1. Answering phone calls and welcoming visitors to the office, ensuring outstanding customer service through effective communication.
2. Collaborating with Gracedale Administration, staff, residents, and families to address inquiries and direct them to the appropriate personnel.
3. Scheduling meetings and appointments as necessary.
4. Handling cash transactions, providing receipts, and accurately entering cash receipts into the software system.
5. Reviewing resident medical bills and performing data entry tasks.
6. Managing incoming departmental mail and assisting with the preparation of billing statements.
7. Supporting Fiscal Specialists and the Business Office Manager with various administrative tasks, including document management and insurance verifications.
8. Providing backup support for reception duties and resident funds management.
9. Ensuring compliance with departmental guidelines for financial transactions.
Qualifications
- High school diploma or equivalent required.
- Minimum of one year of clerical experience with a focus on customer service.
Skills and Abilities
- Strong communication and interpersonal skills.
- Proficient in data entry and familiar with Microsoft Office applications.
- Ability to maintain confidentiality and manage sensitive information.
Work Environment
The work environment is characterized by a range of noise levels and requires frequent interaction with a diverse population.
