The Senior Administrative Coordinator plays a crucial role in ensuring the seamless functioning of the Executive Team by delivering comprehensive administrative support through a range of clerical and organizational tasks.

KEY RESPONSIBILITIES

  • Offers top-tier administrative assistance to the Executive Team and other designated leadership personnel.
  • Handles clerical duties including managing calendars, composing correspondence, invoices, reports, and various documents for senior management.
  • Coordinates travel arrangements and accommodations.
  • Organizes and may participate in meetings on behalf of executives, documenting notes and minutes.
  • Manages incoming communications or memos for senior staff, assesses their significance, and summarizes or distributes information to relevant personnel.
  • Conducts office tasks such as maintaining records, ordering supplies, and performing basic bookkeeping functions.
  • Handles phone calls, transferring them as necessary while screening calls when appropriate.
  • Greets and directs visitors and clients with professionalism.
  • Maintains organized filing systems as assigned.
  • Retrieves requested information from records, emails, minutes, and other documents; prepares written summaries as needed.
  • Addresses and resolves administrative inquiries and concerns.
  • Prepares agendas and schedules for meetings.
  • Records and disseminates minutes or other documentation for meetings.
  • Oversees office supplies and coordinates maintenance of office equipment.
  • Maintains a system for tracking expenses and managing petty cash.
  • Responsible for mentoring and developing junior Administrative Assistants.
  • Performs additional duties as assigned.
  • Demonstrates excellent verbal and written communication abilities.
  • Exhibits strong interpersonal and customer service skills.
  • Maintains the highest level of confidentiality and professionalism.
  • Possesses exceptional time management skills with a proven track record of meeting deadlines.
  • Displays outstanding organizational skills and attention to detail.
  • Thrives in a fast-paced and sometimes high-pressure environment.
  • Holds extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type a minimum of 60-75 words per minute.
  • Capable of working independently.
  • Interacts with guests and team members in a courteous and professional manner, fostering positive customer relations by providing prompt and efficient service.
REGULATORY AND COMPLIANCE RESPONSIBILITIES:

In addition to the duties outlined above, each Team Member is responsible for compliance with laws and regulations, including:
  • Participating in mandatory training sessions provided by the Company.
  • Obtaining and maintaining necessary licenses.
  • Executing duties in accordance with local laws and regulations.
  • Ensuring minors are not permitted in restricted areas.
  • Understanding the ordinances, regulations, laws, policies, and procedures relevant to their department.
  • Being knowledgeable about the Property's programs addressing problem gaming.
  • Reporting any known misconduct.
EDUCATION, TRAINING, AND EXPERIENCE:
  • A Bachelor's degree or equivalent professional experience is preferred.
  • A minimum of 5 years in an administrative capacity.
  • Proficient in Microsoft Office Suite or similar software.
