POSITION SUMMARY

The Intake Certification Specialist serves as the primary point of contact for the NVOP Mental Health Program. This role involves providing essential in-office intake services to individuals interested in participating in the program. The Specialist will manage client data entry, assist in maintaining appointment schedules for various clinicians, and ensure the confidentiality of client information through HIPAA training. Follow-up communications with clients will also be part of the responsibilities. Additionally, the Specialist will compile a resource directory of community organizations, clinics, treatment facilities, and hospitals to assist applicants who may not qualify for services.

KEY RESPONSIBILITIES

  • Conduct client intakes and assess eligibility, ensuring all applicant documentation is accurate and verifiable.
  • Interview clients and prepare assessments for those seeking services at the NVOP Veteran and Family Wellness Program.
  • Perform regular data entry for client information to facilitate monthly reporting to management.
  • Track trends related to clients and services provided within the database system.
  • Maintain confidentiality and quality assurance for all documentation and database entries.
  • Schedule appointments and confirm them with clients.
  • Follow up with clients regarding services and surveys.
  • Organize and maintain program records, including creating and securing necessary documentation.
  • Participate in HIPAA training and adhere to all relevant policies and regulations.
  • Ensure timely completion of intakes and notify Licensed Clinical Counselors when applicants are ready for the assessment process.
  • Maintain logs to ensure proper assignment of applicants to Licensed Clinical Counselors.
  • Manage incoming calls, determine their purpose, and direct them to the appropriate personnel.
  • Welcome visitors, assess their needs, and notify relevant staff.
  • Handle mail sorting and routing, as well as maintaining office supplies.
  • Assist with the creation of various documents as needed.

QUALIFICATIONS

  • A minimum of a high school diploma or GED is required; some college education is preferred.
  • Experience in a clinical or mental health facility is essential.
  • Prior experience in intake processes is necessary.
  • Familiarity with working with disadvantaged veterans is preferred.
  • Experience with homeless individuals or low-income families is a significant advantage.
  • Reliable transportation is required.
  • For those with a personal vehicle, a valid driver's license and appropriate automobile liability insurance are mandatory.
  • All personnel must be bondable.
  • Successful completion of drug testing and background checks is required.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Able to manage multiple tasks simultaneously.
  • Self-motivated and capable of working independently.
  • Ability to engage with a diverse population.
  • Bi-lingual in English and Spanish is preferred.

WORK ENVIRONMENT

This position involves office work, client interactions, and occasional offsite meetings. Employees may encounter varying weather conditions and will work with a diverse range of veteran clients and their families. The role may also include outreach activities at community events.
