We are seeking an experienced Administrative Assistant to support the investment professionals of our Palo Alto office. The ideal candidate will have a strong working knowledge of administrative functions, excellent communication skills, and the ability to work in a fast-paced environment.
Key Responsibilities
- Provide administrative support to investment professionals, including calendar management, travel arrangements, and data entry.
- Manage office supplies, maintain a clean and organized workspace, and perform other administrative tasks as needed.
- Develop and maintain filing systems, both physical and electronic, to ensure accurate and timely retrieval of data and records.
- Prepare regular and ad hoc reports, including data analysis and presentation, as requested by the Regional Managing Director.
- Use SAP to input and retrieve data for reporting and other purposes, maintaining a strong working knowledge of the system.
- Provide secretarial and other support services, including timekeeping, scheduling meetings, and answering phones, as directed.
- High school diploma or equivalent; business school or post-high school education preferred.
- Five years of progressively more responsible experience in administrative assistant or high-level secretarial functions.
- Excellent communication and comprehension skills, with the ability to work accurately and efficiently in English.
- Proficiency in Microsoft Office, including Excel, Access, and PowerPoint.
- Strong work habits, a strong work ethic, and ability to adhere to company work hours, policies, and standard business etiquette.
This is a temporary position anticipated to last approximately one year. The anticipated hourly rate range for this position is $64.06 per hour. Final rate for this role is based on several factors, including the individual's geographic location, experience level, skill set, training, licenses, and/or certifications.
