Job Summary:

The National Academies of Sciences, Engineering, and Medicine seek a highly organized and detail-oriented Program Assistant to provide administrative support to our team. As a Program Assistant, you will be responsible for performing routine clerical tasks, including word processing, copying, faxing, filing, answering and screening calls, drafting correspondence, and assisting with mailings.

Key Responsibilities:

  • Perform routine clerical tasks, including word processing, copying, faxing, filing, and answering and screening calls.
  • Draft correspondence and assist with mailings.
  • Assist with logistical arrangements for committee meetings, including assembling and reproducing agenda books and briefing materials.
  • Arrange travel and lodging for staff, members, and other stakeholders.
  • Prepare and process invoice vouchers and travel expense reports in compliance with applicable policies and procedures.
  • Input, edit, and proofread reports, and format text and publications as needed.
  • Assist with meeting planning and attend meetings, training classes, and workshops.
  • Update applicable databases and systems on a timely basis and ensure documents and files are accurately maintained and archived.
  • Perform basic subject-oriented literature searches for staff and committee members and gather references.

Requirements:

  • High school diploma, GED, or equivalent knowledge.
  • Two years of related experience.
  • Proficiency in Microsoft Office Suite/Microsoft Teams.
  • Ability to follow instructions and resolve problems with supervisory consultation or by using closely prescribed procedures.
  • Ability to be flexible and change directions as the job dictates.
  • Ability to work successfully in a team environment.
  • Ability to develop relationships with co-workers and employees in other National Academies' departments through effective communication.

Work Environment:

This is a hybrid office/telecommute position, with an expected onsite percentage of 40% and occasional travel between National Academies' facilities and to off-site meeting/sponsor locations.
