Job Overview

The Referral and Scheduling Coordinator plays a vital role in managing and facilitating the referral and appointment scheduling processes within our organization. This position requires a proactive individual who can work remotely while efficiently handling various administrative tasks related to client support and telehealth services.

Key Responsibilities:
  • Possess a comprehensive understanding of telehealth services to effectively communicate offerings to potential clients and healthcare facilities.
  • Provide education and training to clients on utilizing telemedicine technology for their appointments from home or preferred locations.
  • Offer technical assistance to clients connecting to their telehealth appointments.
  • Handle incoming calls professionally, ensuring timely routing and message delivery to the appropriate personnel.
  • Collect co-payments for same-day appointments as necessary.
  • Assist in coordinating care for clients, including managing lab work requests and obtaining necessary documentation.
  • Process and oversee new referrals as directed by the Central Referral & Scheduling Manager.
  • Input new referrals into the Electronic Health Record system and update client information as required.
  • Ensure clinic schedules are filled in accordance with established guidelines.
  • Maintain professional interactions with clients, caregivers, and external agencies.
  • Verify that all consents are completed and signed prior to scheduling new patient appointments.
  • Confirm active client funding for all scheduled appointments and make updates as necessary.
  • Demonstrate knowledge of the Patient Portal and assist patients with forms as needed.
  • Adhere to security protocols by encrypting all communications containing protected health information (PHI).
  • Review upcoming appointments to prevent duplicate scheduling.
  • Authenticate caller identities by verifying three identifying factors and updating client records accordingly.
  • Monitor and respond to IMPOWER emails and faxes promptly.
  • Utilize IMPOWER tech support for any technology-related issues and inform supervisors as needed.
  • Follow policies for chat and instant messaging, ensuring no PHI is shared and status updates are current.
  • Lead the processing of daily fax communications, ensuring timely distribution to relevant departments.
  • Assist in daily eligibility processes and provide backup support to the CRS Manager.
  • Support the Manager in credit card processing for patient services.
  • Train new staff and assist the CRS Manager with onboarding processes.
  • Understand the referral processing through the API configuration system and manage waitlist reports.
  • Report any missed time clock punches to supervisors and ensure timecards are approved weekly.
  • Contribute to special projects as assigned by management.
  • Complete mandatory training courses within specified timeframes.
  • Uphold ethical standards and comply with all policies and procedures of IMPOWER.
  • Perform additional duties as assigned.
Qualifications:
  • High School Diploma or GED required; Associate's or Bachelor's degree preferred.
  • Bilingual candidates are preferred.
  • A minimum of one year of experience in a fast-paced medical office environment, particularly with challenging clientele.
  • Successful completion of background screenings through relevant authorities.
  • Valid driver's license and auto insurance with a clean driving record.
  • Negative results from a multi-panel drug screening.
