Job Summary

Key Responsibilities
  • Assist with document management, file organization, and e-filing document and media downloads/uploads.
  • Support trial preparation, including creating trial binders, making copies, and other administrative tasks.
  • Provide administrative assistance to attorneys and staff, including greeting clients and guests in a professional manner.
  • Replenish office supplies and maintain a clean and organized workspace.
  • Process daily incoming and outgoing mail, including scanning, copying, and saving documents.
  • Assist with document management and physical file organization.
  • Set up and take down conference rooms for depositions and meetings.
  • Interact with maintenance crews and vendors as needed.
  • Order office supplies through approved vendors.
  • Assist with processing invoices and maintaining an invoice matrix.
  • Support document retrieval for attorneys and staff.
  • Assist paralegals with processing medical records and radiology imaging.
  • Download and save deposition transcripts and court documents.
  • Copy and distribute CD/DVDs of imaging, medical records, and pleadings.
  • Assist with voluminous mailings.
Requirements
  • Minimum of 1 year law firm experience.
  • Proficient in MS Office (specifically, MS Word, MS Excel, and Outlook).
  • Self-starter with excellent organizational skills and ability to prioritize tasks.
  • Team player with a positive attitude and excellent communication skills.
  • Reliable and responsible with a professional appearance and demeanor.
  • Ability to work in a fast-paced environment with attention to detail.
  • Flexibility and adaptability in a dynamic work environment.
